Clusters HR are required to obtain direct source verification for all medical qualifications (basic and postgraduate degrees) held by the doctor.

Clusters HR must show proof that the process of source verification with issuing authorities has been initiated, by submitting to SMC, a copy of the request for verification (letters, faxes, emails), together with the application form and supporting documents. Alternatively, clusters HR can also indicate in the application form that the doctor has already requested for the Letters of Verification (LV) to be sent directly to SMC or clusters HR, from the issuing authorities. Submission of LVs through applicants is not acceptable.

LVs should be on the letterhead of issuing authorities & contain:

  • Name of graduate;
  • Date of entry into programme;
  • Date of graduation/conferment;
  • Title of qualification conferred; and
  • If teaching medium is in English

The LVs should be addressed to:

(a) The Secretariat, SMC if it is sent directly to SMC; or
(b) A specific HR officer in the employing hospital, with designation and mailing address if it is sent directly to clusters HR.

Upon receipt of original LVs, clusters HR should forward the original LVs to SMC with a copy retained by them. Similarly, SMC will forward clusters HR, a copy upon receipt of LVs sent directly to SMC.

If the LVs are not received by the time the application is approved, a proviso will be included in the outcome letter, indicating that doctor's registration will be cancelled if SMC does not receive a reply directly from the issuing authorities or employing institutions 6 months after the date of approval.

For short registration period, e.g. T-reg (Clinical Observers/Clinical Fellows for 6 months), the doctor's registration will be cancelled if SMC does not receive a reply directly from the issuing authorities or employing institutions 2 months after the date of approval.
